Privacy
policy.
This policy explains what Empire collects, why, who we share it with, how long we keep it, and the rights you have. We do not sell personal data and we do not share it for targeted advertising.
1. Who this policy covers
This policy applies to Empire Telecom NJ and the brands we operate, including Empire TV, Empire Telecom and eLink (together, "Empire," "we," "us"). It covers empiretv.co, getelink.com, our quote and support forms, our chat and helpdesk tools, our partner portal, and the phone, email and text conversations that follow.
We sell to businesses — senior living communities, healthcare facilities, hotels, apartment communities, restaurants and property managers — so most of the personal information we hold is business contact information about the people who work at those organizations. We also hold information about residents or guests only where a facility asks us to (for example, a name on a work order), and in those cases we handle it on that facility's behalf.
If you are covered by a separate signed agreement with us, that agreement controls where it conflicts with this policy.
2. What we collect
Information you give us
- Contact and role: name, job title, business email, business phone, mobile number, and the facility or company you represent.
- Facility details: address or ZIP code, number of rooms, units or screens, facility type, current provider, contract end date, and the services you are interested in.
- Billing and audit material: copies of invoices or statements you send us for a bill review, and the account numbers and rates shown on them.
- Messages: what you write in a form, email, chat, support ticket, or text, and recordings or notes of calls where we tell you a call is recorded.
- Partner information: for partner applications, your company, partner type, and the accounts you register with us.
Information collected automatically
- Device and usage: browser and device type, pages viewed, links clicked, referring page, and country. Your IP address is used momentarily to generate the daily scrambled visit code and to guard against abuse; it is not stored in our analytics.
- Cookies and similar technologies: used to keep the site working, remember preferences, and measure traffic. See section 6.
Information from others
- Referrals from existing customers, partners, group purchasing organizations, consultants and IT providers.
- Publicly available business information (for example, a facility's published address or bed count).
- Service and equipment vendors, where needed to install or support your system.
We do not knowingly collect sensitive categories of personal data — health conditions, precise geolocation, biometric data, financial account numbers, government ID numbers, or data revealing race, religion, sexual orientation, immigration status or union membership — and we ask that you do not send them to us. If a document you send contains information like this, tell us and we will delete it.
3. Why we use it
| Purpose | What that means in practice |
|---|---|
| Answering your request | Preparing a quote, reviewing your bills, scheduling a site survey, or routing you to the right account manager. |
| Delivering service | Designing, installing, managing and supporting TV, internet, phone, nurse call, Wi-Fi and low-voltage systems, and coordinating with the vendors and carriers required to provision them. |
| Support and billing | Handling tickets, dispatching technicians, invoicing and collections. |
| Communicating with you | Service notices, appointment and outage updates, renewal reminders, and — where you have asked for them — occasional marketing emails or texts. |
| Improving our business | Understanding which pages and tools are useful, training our team, and developing new services. |
| Security and legal | Preventing fraud and abuse, enforcing our agreements, and meeting legal, tax and regulatory obligations. |
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects about you.
4. Who we share it with
We share personal information only as described here:
- Service providers who work for us under contract and may use the information only to perform that work: website and email hosting, our CRM and quoting systems, email and text message delivery, chat and helpdesk software, analytics, payment processing, and IT security.
- Vendors and carriers needed to deliver what you ordered — for example programming providers, internet and phone carriers, and equipment distributors. They receive only what is necessary to provision and support your service.
- Field technicians and subcontracted crews assigned to your project, limited to the site and contact details they need.
- Professional advisers such as accountants, auditors and lawyers.
- A buyer or successor if our business or a part of it is sold or reorganized.
- Authorities where we are legally required to, or where we need to protect someone's safety or our legal rights.
We do not sell personal data, and we do not share it for cross-context behavioral advertising or targeted advertising. We have not done so in the preceding twelve months. Mobile phone numbers and text-message consent are never sold, rented or shared with third parties for their own marketing — see our SMS Terms.
5. Your privacy rights
Depending on where you live, you may have the right to:
- Confirm and access the personal data we process about you;
- Correct inaccurate personal data;
- Delete personal data we hold about you;
- Obtain a portable copy of the data you provided, where technically feasible;
- Opt out of the sale of personal data, targeted advertising, and profiling in furtherance of decisions that produce legal or similarly significant effects — none of which we currently do; and
- Not be discriminated against for exercising any of these rights. Exercising them will not change your pricing or your service.
How to make a request
Email [email protected] or call (626) 686-9898 and tell us what you would like us to do. We will verify your request against information we already hold; for deletion or access requests we may ask for additional confirmation. An authorized agent may submit a request on your behalf with written proof of authority.
We respond within 45 days. If we need longer, we will tell you within that period and may take one additional 45 days.
If we say no
You may appeal by replying to our decision or emailing [email protected] with "Appeal" in the subject line. We will respond to an appeal within 60 days and, if we deny it, tell you how to contact your state Attorney General.
State-specific notes
New Jersey. We are based in New Jersey and honor the rights above for New Jersey residents under the New Jersey Data Privacy Act, including recognition of universal opt-out mechanisms.
California. California residents have the rights above under the CCPA as amended by the CPRA, including the right to know the categories of personal information collected, the sources, the purposes, and the categories of third parties to whom it is disclosed — all set out in sections 2 through 4. We do not sell personal information or share it for cross-context behavioral advertising, and we do not use or disclose sensitive personal information beyond the purposes permitted by law.
Other states. Residents of other states with comprehensive privacy laws — including Colorado, Connecticut, Virginia, Texas, Oregon, Montana, Delaware, Minnesota and Maryland, among others — may exercise the same rights by contacting us as described above.
6. Cookies, analytics and opt-out signals
Our site uses cookies and similar technologies that are strictly necessary to make pages and forms work. We also measure traffic ourselves, on our own server, without cookies and without storing IP addresses or device identifiers: each visit is counted with a scrambled code that changes daily and cannot be linked back to you or followed across days. We also run Zoho SalesIQ chat and Zoho Desk support widgets, which set their own cookies so a conversation can continue across pages.
You can block or delete cookies in your browser; strictly necessary cookies cannot be switched off without breaking parts of the site.
Global Privacy Control. We treat a Global Privacy Control (GPC) signal, and similar browser- or device-level universal opt-out signals, as an opt-out of sale and targeted advertising. When our site detects one, non-essential cookies stay switched off. Because we do not sell personal data or run targeted advertising, there is no sale or sharing for the signal to stop.
We do not respond to legacy "Do Not Track" headers, which have no agreed standard.
7. How long we keep it
- Quote requests and bill reviews that do not become customers: up to 24 months, then deleted or anonymized.
- Customer records: for the life of the account and then as long as needed for warranty, tax and legal purposes — generally seven years after the account closes.
- Support tickets and call notes: up to 36 months.
- Text-message consent and opt-out records: at least four years, because messaging rules require us to be able to prove consent.
- Site analytics: up to 26 months in aggregate form.
Bills and invoices you send us for a review are kept with the related quote record and deleted on the same schedule, or sooner if you ask.
8. How we protect it
We use access controls so that staff see only what their role requires, encryption in transit for our website and forms, multi-factor authentication on our business systems, and contractual confidentiality and security obligations on the providers who process data for us. No system is perfectly secure; if a breach affects your personal data we will notify you and any regulator as the law requires.
9. Children
Our site and services are directed to businesses, not to children. We do not knowingly collect personal data from anyone under 13. We do not sell personal data or conduct targeted advertising with respect to anyone we know to be under 17. If you believe a child has given us information, email [email protected] and we will delete it.
10. Other things worth knowing
Links to other sites. Our pages link to vendor, partner and programming websites that have their own policies. We are not responsible for them.
Where data is processed. We operate in the United States and our providers process data in the United States.
Changes. If we make a material change to this policy we will update the date at the top, post the new version here, and — where the change affects how we use information you already gave us — tell you directly.
